Website Privacy: I Like Big Data I Cannot Lie

By now, most people understand that websites collect data behind the scenes (often without notice). You may even opt to volunteer information by filling out and submitting an online form. But what rights do the website owners have to your data? Who can they share it with? What are your rights?

These are all great questions that we’ll talk about in this article.

Privacy Policy

Every website which collects data should publish a Privacy Policy. This is not only for the users’ sake but also to protect the website’s owners. This privacy policy should explain how the site owners may use and disclose your data, the types of collected data, and how a user can contact the owner if they have concerns.

Okay, so now you know where to look to find out how your data is being used and what your rights are. But what if you want to submit confidential information? If you own the website, how do you keep confidential information secure?

SSL Certificates

SSL (Secure Socket Layer) certificates are the modern standard in website security technology. When you visit a site that has a properly installed certificate, a secure link is established between the web server and your browser. This link ensures that the data passed between these two points remains private and confidential. When you complete a form on an SSL secured website you can be assured that your data will be protected against interception. Even if it somehow gets intercepted by an unintended 3rd party, that person would only see garbled nonsense. Modern 256-bit encryption is so secure that even if 70 billion modern processors were focused on cracking a single value, it would still take 77 septillion years to crack it (that’s 77 followed by 24 zeros)!

You can tell if a website is protected by an SSL certificate by looking at the URL of the page you’re viewing – check if it starts with https:// (the “s” stands for secure). Also check to the left of the address to make sure a green padlock appears (or its equivalent in your browser of choice).

Data Process Protection

As a user, once you verify that the site is SSL secured and has an agreeable Privacy Policy, clicking “Submit” still transfers control of your data over to the website’s owner. As an owner, it is important to regularly review internal protocols to make sure that you are living up to the published Privacy Policy. If your form has the potential to collect identifying healthcare information, this becomes a mandated legal requirement.

Online Form Sent to Email

Some online forms send data directly to the recipient’s email address. Email is still one of the least secure forms of online communication. Often an email will get copied and stored in plain text on several servers during routine transit – a footprint which doesn’t disappear for years. For this reason, you should never email confidential information unless both the sender and recipient are using end-to-end encryption.

Products like Proofpoint offer email encryption for organizations. They also have products which scan incoming and/or outgoing email to ensure that their organization is not sending or receiving sensitive data – those emails get stopped by the gatekeeper. These are great tools to minimize risk.

Online Form Sent to 3rd Party Program

There are many 3rd party products available that encrypt online form submissions and send them to a secure document server for retrieval using a private decryption key. The intended recipient may receive an email about the form but the email will not contain any actual data. You will still need to review the 3rd party product you’re subscribing to and ensure that their security procedures are adequate.

My family recently had an experience with an insurance company that collected lots of personal information on their paper application forms. They insisted on using paper applications because they were more “secure”. They cited concerns that the data might be hackable if it was online. As an IT professional, I knew it would be much easier to steal paper from a desk than it would be to hack it from a secure environment. But I trusted that this professional company had staff trained on proper document handling procedures.

The company then made a simple and foolish mistake. They scanned in our application and attached it to an email and sent it back to me with a question. We had a long discussion about the risk they just put our family in by sending this form over email. As IT professionals, we offered them other workflow options that did not involve sending secure data through insecure channels. They are now paying for identity theft services for our family because of their mishandling of our secure information. This is a good example of how improper training and knowledge of these issues can become very costly for a company – and how the right knowledge can help you hold companies accountable when and if your data is ever compromised.

Keep Your Website Professional

Take the time to click through your website as a user. You’d be surprised how many updates you find that should be made, or realize that you have additional information available but it hasn’t been added to the website yet. If your homepage is still displaying information about a past event as “upcoming” you are wasting prime space and sending the wrong message to your visitors.

Cool websites look great on a large monitor and can be programmed to be responsive to mobile screens, but there is an extra part to this: Load Time. Website speed issues will cause a visitor to leave your site before they even see what your cool website has to offer.

  • Get a great website host. Page speed starts with how fast files are served by your web host. While there is no one perfect solution for hosting your site, do not mindlessly sign up for a hosting plan without researching performance and reviews.
  • Decrease the number of installed plugins. There’s a good chance your website is not using half of the plugins you have installed, and there are huge security issues if your plugins are not kept up to date.
  • Clean up outdated posts and articles on your website. Those articles can add to load time.
  • Optimize your website images. Use a photo editing program to optimize images before uploading to your website. Delete unused images from your media library.

Consumer Confidence

With fake reviews circling the internet and companies like Yelp & Amazon suing those selling or creating fake reviews, it is important to create an online experience users can trust. Start by sending review request emails to verified purchasers as a way to collect authentic content.

Mozilla Firefox has a simple interface with one-click buttons. Because Firefox adheres strictly to the W3C standards, it remains one of the most universally accessible browsers on the market.

Speed – While Firefox is fast and getting faster, Chrome is still in the lead.

Customization – Firefox has an “Awesome Bar” that learns from your Internet searches and finds content tailored for you. They also offer themes to customize the look of the browser.

Add-Ons – Firefox offers a variety of add-ons

Safari is optimized for Mac users. It features a favorites and bookmarks bar. Another great feature is its reader mode, which can render pages in an easy to read text-only format.

Extensions – Safari has extensions but not as many – more are coming. While we wait, the ones available so far are pretty useful.

OS Compatibility – Safari is geared towards Mac users but some versions do work on Windows. Safari does not support Linux.

Device Compatibility  – Mobile Safari supports most iPads and iPhones. Safari does not support Android, Blackberry, or Windows Phones.

Developer Tools/Needs – Safari uses webkit which may appeal to developers, and it is pushing HTML5.

Finally, there is a good reason why I left this Browser out of the comparison. Since January 12th, 2016, Microsoft no longer supports any version of Internet Explorer except 11. Consequently, you should uninstall IE from your system immediately. Because Microsoft won’t release any new security patches, exploits will go unfixed. Furthermore, leaving outdated software on your system potentially opens up doors for hackers.

How Do I Increase Web Traffic

We get this question the time: How do I increase traffic to my website?

Our staff here at Appletree MediaWorks studies Google’s newest algorithms all the time, because it is our job to increase web traffic for our clients. We have a developer on staff who spends most of her day doing SEO – search engine optimization for our clients. Whether it’s for a union, an organization, or a business, it takes the same steps to get a website in front of a user. No matter how many times Google has changed its formula for showing websites, overall web presence has always been the key.

Web Presence

What is web presence? Is it paying for ads? Is it paying to be listed on a link site? No, your web presence is something you build over time and continue to build every month. A few hours a month grows your web presence exponentially. We see the results with our clients that invest in their online presence and put their time into the 3 areas we’ll talk about. Your website presence is essentially a scorecard for search engines to rank you: the more places your show up as active and useful, the more points you earn.

Build a Useful Website

It starts with a solid website that accurately portrays your organization or business. Your website should be updated every 2 weeks at a minimum. Those updates can include calendar entries, a news webpage post about your organization, or pictures from a recent outing.  Website updates don’t have to be complicated or extremely time consuming, but they need to happen to tell search engines “Hey I’m an active website and I’m a good place to send people“.

Google also gives preference to Mobile friendly websites, so if your website is not mobile friendly, now is the time to fix that.

Be Active on Social Media

Next is your social media. At a minimum, get on Facebook, Twitter and Google Plus and make sure your organization’s contact information is complete and accurate. Google has started showing your organization’s Google+ posts along with your contact information when someone is using Google. Take advantage of that!! Facebook is now allowing for tabs to let visitors contact you right from Facebook. Again, take advantage of this free feature.

Also get on the newer social media sites like Alignable.

Drive Traffic through Directory Sites

Finally, get your organization into free directory sites. These directory sites are different from the ones who send out emails about link listing websites. Search engines know about “link farm” sites and penalizes you for taking part. Legitimate directory sites include: Merchant Circle, Super Pages, and Yellow Pages. Appletree maintains a top 10 directory sites list and make sure our clients are on these.

Yes, these sites will try to sell you “for-pay” premium services and it’s your call whether to invest in the premium services. Be sure to ask them what kind of results you should expect and monitor the traffic you receive from their premium services. But at the very least take advantage of the free listings.

Want bonus points? Update your directory site entries periodically too, many allow for photos, news and offers.

We know this is overwhelming and trying to keep up with all of these online sites seems impossible. Don’t be afraid to contact an expert. Responsive Web Design vs Mobile Website

Through 2015, mobile device have been on the rise. According to Statista, in 2015 about 75% of mobile phone owners in the US accessed the Internet using their mobile phone. Everyone wants to do everything on their phones and tablets that they used to do on their desktop.

In 2016, if your website is not mobile ready you need to change that today. Two main ways to make your site mobile is to either have a mobile sub-site or a responsive web design.

Why can’t I run my regular website on a mobile device?

It is possible for your regular online site to run on a mobile device but it is probably not a very good idea. The screen size of the device can dramatically affect the user experience and the overall look of your site.

User Experience Problems:

  • Small Print and Images – User can’t read the content on your site

Not only can the user not properly use your site but it will also not look very good which can turn away many users.

Mobile Sub-Site

A mobile sub-site is an entirely separate site from your desktop site. It is usually prepended by a subdomain, such as “m.domain.com” or “mobile.domain.com”.

Pros

responsive web designBetter User Experience – Since it is a separate domain, you can very easily customize the site specifically for mobile users.

Faster Load Time – Since you can minimize the pages down for mobile, it will load faster than a responsive site.

Cons

Hurts Organic Search Traffic – Since this is a separate domain name, Google can get confused and badly affect your organic search traffic.

responsive web designHurts Search Link Equity – Search link equity is the in-bound traffic from links. Any links shared from your mobile site hurts your primary site’s search link equity since they are not added together.

Not Future Ready – There will be higher maintenance and expense to keep up another domain and there will be future reworking.

Responsive web design is all done in the back-end code of your primary site to automatically re-size the site for mobile device users.

Prosresponsive web design

Better For SEO – Since there is only one domain name you do not have to worry about search result problems, complicated redirects, and lost link equity.

Future Ready – There will be no reworking the site to make it mobile since a responsive design is future ready.

Cons

Possible Slow Load – If you have a large site with large pages used on a desktop it will most likely load slow on a mobile device.

Need Different User Experience – Sometimes the user experience on a desktop may not be the same user experience you would like to give them on a mobile device. Most of the time a mobile user has different needs that a desktop user and you might want to tailor your site for those needs.

Analytics is data analysis that usual involves taking past data to find trends and effects or decisions or events. It can also compare old data with new data using a given tool or scenario. How to Improve:

  • Using proper keywords – This will attract the correct audience so they find what they are looking for.

How to Choose a Good Domain Name (and Keep It)

The first topic we cover with our new clients is usually “How to Choose a Good Domain Name”. We’ve been helping businesses and organizations with websites for over 15 years, there is strategy and logic that comes into play when choosing a domain name and keeping it.

Domain Name Choices

It’s not a bad thing to have more than one domain name that leads to your website, however, you will want to choose one main domain name to use the majority of the time. Start by brainstorming keywords that describe what type of service or organization you are. If your business already has keywords in its name consider using it for your website. But remember, you’re going to want to keep your domain name short, easy to type and easy to remember.

What Domain Extension Should I Purchase?

More and more domain extensions have come on the market, .com and .net aren’t your only options anymore. There is everything from .photography to .tv available for purchase now. These extensions have their benefits, for example, we use http://unionmade.website to promote our union website services because it’s obvious that URL will lead a union website company. It’s recommended to use a .com address as your main domain as this is the most common domain extension and Apple devices even have a .com key on their keyboards.

With all of the domain options out there costing between $12 and $20 a year don’t be afraid to purchase a couple of them and monitor your website statistics to see which ones are being used and how users are getting to them. Keeping Your Domain Name Safe

You’ve picked the right domain name, you’ve shared it with everyone and even have it etched on your building, but then one day you go to open your website and it’s not there. What happened? You’ve forgotten to renew your domain name at the registrar.

Getting Your Domain Name Back

If you’re lucky when your domain expired a contact called and said their email bounced back when they tried to contact you. So you forwarded their message to your website developer and they reminded you to go renew your domain name ASAP. In this case the domain name was not out of the 30 day redemption window yet, so you can pay an $80-$200 fee and get your domain back out of expiration status. Whew, close one.

On the not so lucky side, you didn’t notice emails bouncing and didn’t notice your website wasn’t up at your domain URL. It’s been over 30 days since it expired and someone else purchased your domain name. This is legal and one of three things can now happen.

  1. You contact the new owner and they tell you that the domain can be purchased from them for ANY amount they name. We’ve seen this number in thousands before. Ouch.
  2. You contact the new owner and they say they’re happy with the new domain name and they are keeping it, it’s not for sale back.
  3. You don’t see a new website at your domain, just a registrar’s page. You can initiate a domain backorder on the domain name and after a year if the new owner doesn’t renew the domain name and you win it back into your hands. But for a year you have neither a website nor email, not really an option.

All of these options carry at least an $80 fee, that’s a big deal when you only spent $20 a year on the domain name. If you’re not willing to pay the domain ransom you’re going to buy a new domain name

Steps for Moving to a New Domain Name

  1. Buy a new domain name.
  2. Point your website hosting to the new domain name. You did renew your website hosting right? If not contact the web host, if you’re lucky they still have your files around and you can renew services with them. If they don’t have your files then you’ll be creating a new website unless your web developer backed up your website files and can restore them for you.
  3. Create new email accounts at the new domain name and notify all contacts of your new email address. All emails sent to your old email address can now be received by the new domain owner if they setup a catch all on the domain’s email.
  4. Update signs, vehicles, stationary, etc. This is where things get expensive and you may rethink paying the domain ransom.

How to Avoid Losing Your Domain Name

We recommend buying your domain name for 10 years at a time, that’s about $200 total for peace of mind, it pays for itself considering the expiration redemption fee is $80-$200. Put sticky note under the calendar on the wall with the domain expiration date on it so every year you see it and know when the date is coming up. At that time go into your registrar account, update your credit card and renew for another 10 years.

You can also leave your domain name in the hands of a website host or a website development company, but again if credit cards aren’t renewed or bills aren’t paid you could have your domain name lost or held for ransom. We’ve had clients come to us with stories of their previous web development company closing and disappearing, taking their files and domain names with them.

Our policy at Appletree MediaWorks is to have our clients keep their domain names in their own personal registrar accounts and we keep a list of their expiration dates in office so when an expiration date is approaching we can remind clients to renew their domain names.

It’s common for our firm to receive phone calls from businesses and organizations asking how to move up to the first pages in search engine search results.

There are two ways to move up in search engine results, SEO and SEM.

SEM

Search Engine Marketing – we call this renting search engine results. These are the pay-per-click ad links that you see at the top and off to the side on search engine result listings. You’ll also see ads appears on websites you visit, these are part of SEM programs as well. A business can setup and manage their own paid search engine marketing, or have a professional firm help them set up and manage their paid ads. **Be sure you’re not locked into a long term contract or forced to keep a minimum budget with the firm that is managing your SEO ad account. If a firm requires this, seek another firm.

It used to be that people only talked about Google Ad-Words, but now Bing Ads, Facebook Ads and Twitter Ads are all players in the paid online advertising world.

SEM costs per-click, every click. If you contact the ad dealers, you can often obtain some free credits to help ease you into pay-per-click ads. Yes, most consumers are immune to the little yellow “Sponsored” boxes next to the paid ads. But keep in mind many consumers can also be frustrated when they click on these paid ad links because sometimes too broad of a search term was used to create the ad and its not really related to what the consumer was searching for. This wastes the paid advertiser’s money for the click and the user’s time.

Apple Brings a New Way to Search

Apple is throwing its hat in the search engine ring with its “Spotlight” search product. Why Is It Important To Update Your Website?

It’s common to hear about interesting event being held by an area business and suddenly want to find out more. So you hop on Google and track down the website, only to find the site hasn’t been updated in four years.

What gives? Why isn’t the website updated? You know the business is active – but the site looks like a ghost town.

Why wouldn’t a business or organization keep their website updated?

Web Company Issues

One of the more common problems we hear about are business owners who don’t have access to edit their website because it was built by someone else that has dropped out of contact or has become slow to respond.

If you are having a hard time with the company or individual that created your website, there are two questions to ask first:

  • Do you have a website update/maintenance plan? Check your website contract (you do have one, right?). If you paid a one-time fee for a web site build, you may not be entitled to continual site updates.
  • Is everything clear between you and the company or website developer? There may be some form of miscommunication of expectations. Reach out to them to find out the best way to get your website updates to them.

If a company is genuinely being difficult, sorting out the tangle can be complicated. We recommend heading off problems by registering your own domain name under your own domain registrar account, and making sure all expectations are clear in regards to updates and website ownership.

Talk to your web development company. They may offer monthly maintenance packages. Or, depending on your website platform, you may be able to update the site yourself.

Technical Know-How

Updating your own website can seem imposing and, depending on the platform your site was built on, it may be difficult.

If your site was built on WordPress or another user-friendly content management system, however, you can easily make changes yourself with client training provided by a company like Appletree MediaWorks. We like to use WordPress to build client websites because it keeps the end-user in mind. That includes you, the site owner.

If you can write up a letter in Microsoft Word or send someone an email, you have enough knowledge to edit a page or create your own posts in WordPress. Time & Priority

Keeping your website site information up to date may not be a priority – you might have plenty of business at the moment and you just don’t have enough time to get around to editing your website.
